VALORWORKS PRIVACY POLICY

ValorWorks, LLC (“ValorWorks,” “we,” “us”) provides an intake and case preparation platform for VA disability law firms and veteran service organizations. This policy explains what information we collect, how we use it, and how we protect it.
What Information We Collect
When you use ValorWorks through your legal team’s intake link, we collect:
- Contact information: your name, email address, phone number, date of birth, state of residence, and gender.
- Military service information: branch of service, dates of service, Military Occupational Specialty (MOS), discharge characterization, decorations, and deployment locations. This may come from your DD-214 upload, your VA.gov account (with your permission), or information you enter manually.
- VA disability information: your current rated and denied conditions, rating percentages, effective dates, combined disability rating, and appealable issues with decision dates. This information comes from the VA through the VA Lighthouse API when you choose to connect your VA.gov account.
- Health and symptom information: symptoms you report, conditions you describe, medications you take, and your responses to intake questions.
- Voice recordings: if you choose to record your story during the intake, we transcribe the audio in real time. The audio is processed in memory and immediately deleted. We keep the text transcript. We never store the audio recording.
- Employment information: your current employment status, occupation, and income, if you choose to share it.
We may also collect information you voluntarily provide, such as documents you upload, free-text descriptions of your experiences, and answers to follow-up questions.
Social Security Numbers
If you provide your Social Security Number or VA Claim Number during the intake, this information is encrypted in memory, included only in the secure file sent directly to your legal team, and immediately deleted from our systems. Your SSN is never written to any database and is never stored on any disk.
How We Use Your Information
We use your information to:
- Generate an intake summary and case strategy for your legal team.
- Identify potential claims, conditions, and evidence pathways based on your service history and reported symptoms.
- Produce structured data exports (CSV, PDF) for your legal team’s case management system.
- Improve the accuracy and quality of our intake and analysis tools.
We do not use your information for advertising. We do not sell your information. Our AI models are not trained on your case data.
How We Share Your Information
We share your information only with:
- Your legal team: the law firm or veteran service organization whose intake link you used. They receive your intake summary, case strategy, and supporting data.
- Service providers: we use third-party services to operate our platform, including cloud hosting (encrypted), email delivery, and AI processing. These providers are bound by contract to use your information only to provide services to us and are prohibited from using or disclosing your information for any other purpose.
- As required by law: we may disclose information if required by law, regulation, or legal process.
We do not share your information with marketers, advertisers, or data brokers. We do not share de-identified, anonymized, or pseudonymized data with third parties without your consent. Third-party use or disclosure of your information is prohibited for any reason without your consent.
Data from the VA
When you connect your VA.gov account, we receive information from the VA through the VA Lighthouse API. This information is used solely to populate your intake and generate your case strategy. We do not modify, submit, or file anything with the VA on your behalf. Only your legal team takes action on your claims.
How We Protect Your Information
- All data is encrypted in transit using TLS and at rest using AES-256 encryption.
- Voice recordings exist only in memory during transcription and are never stored on any disk or database.
- Social Security Numbers are never written to any database. They are encrypted in memory, included in the secure file sent to your legal team, and immediately deleted.
- Each law firm’s data is logically isolated. Your case data is accessible only to your legal team. There is no cross-firm data sharing or pooled analytics on identifiable records.
- Access to systems is logged and monitored.
How Long We Keep Your Information
We retain your intake data for as long as your legal team maintains an active account with us or as needed to provide our services. If your legal team’s account is closed or dormant for more than 24 months, we will delete your data within 90 days unless retention is required by law.
Your Right to Delete Your Data
You may request permanent deletion of all of your data at any time by emailing privacy@valorworksai.com. We will delete 100% of your data, including any non-VA data you shared, within 45 days of your request. Deletion is permanent and cannot be undone.
Data Breach Notification
If there is a data breach that affects your information, we will notify you and provide instructions for any actions you may take. We will also notify your legal team and any applicable regulatory authorities as required by law.
Changes in Ownership
If ValorWorks is acquired, merged, or sells its business, we will notify you before your data is transferred to a new entity. You will have the option to: (a) request deletion of your data before the transfer, (b) download your data, or (c) continue under the new entity’s policies, provided they are consistent with this policy. If the new entity’s policies are materially different, you will be given the opportunity to close your account and have your data deleted.
Changes to This Policy
We will notify you of material changes to this privacy policy by posting the updated policy on our website and, where possible, by email to the address associated with your intake. Changes take effect 30 days after posting unless otherwise stated.
